Hotels - Annual Meeting

The 2025 Annual Meeting will take place at the Hilton San Francisco Union Square and the Parc 55 San Francisco – A Hilton Hotel.

To make a hotel reservation, you must first register for the meeting. Your confirmation email will include information about how to make a reservation via our housing partner, Maritz. Once you book your room, you will receive a confirmation email from Maritz within 72 hours.

Reservations must be processed by Maritz; do not book directly with the hotels. If you are having trouble with the booking system, contact [email protected]. AALS staff does not have access to the Maritz booking system and cannot assist you directly with this process. 

The deadline for hotel reservations is December 19, 2024. The guest room rate per night for both hotels is $195 (single or double occupancy) + taxes.

San Francisco Hotel Workers Labor Negotiations

AALS is in close touch with our Annual Meeting hotels regarding ongoing contract negotiations between the Hilton San Francisco Union Square, Parc 55, and the hotel workers union. We are closely monitoring the situation and doing all we can to urge the Hilton to reach a contract with the union, which we expect to be in place before the Annual Meeting.

Rates

The guest room rate per night for both hotels is $195 single or double occupancy + taxes.

  • $20 for each additional adult in the room.
  • Children staying in the same room with their parent(s) are free of charge in existing bedding. There is no charge for a crib. There is a $25 charge for a rollaway bed.

Changes and Cancellations

Through Thursday, December 19, you can make changes to or cancel your reservation via the link provided in your confirmation email from Maritz. From December 20-25, Maritz will be transferring all bookings to the hotels, making changes and cancellations temporarily unavailable. Starting December 26, you may contact the hotel directly to change or cancel your reservation.

Reservations may be cancelled by 6 pm on the scheduled arrival date with no charge or penalty. For cancels after 6 pm or failure to check in on the arrival date, one night’s room and tax will be charged to the credit card used to make the reservation.

What if I never received my hotel instructional email?

First, check your spam folder. If you still can’t find it, email the Registration team to have a copy re-sent to you.

How can I request accessibility accommodations?

Indicate the accommodations needed in the section titled “Special Accommodations” when making your hotel reservation.

Is there a guarantee required for the hotel? If so, is it refundable?

A valid credit card with an expiration date of January 2025 or later is required to secure your room reservation. Credit cards will not be processed prior to your arrival.

How do I reserve a room if I’m sharing it with a colleague or bringing family members?

Designate one person to make the reservation. List all occupants when making the reservation, including children and their ages. Children under the age of 18 may stay free of charge in a parent’s room. There is an additional charge of $20 per person, per night for more than two adults (age 18+) sharing a room. You should notify the hotel at check-in if any of the guests in your room are under age 18 and exempt from the extra person charge.

Why did a third-party hotel company contact me?

Beware of housing pirates and poachers! Maritz is the only company that handles AALS Annual Meeting hotel reservations for the 2025 Annual Meeting. In the past, registrants have sometimes been contacted with offers for cut-rate housing from companies impersonating AALS or presenting themselves as an alternative to Maritz. These offers are not valid.

When AALS secures guest rooms at hotels for our Annual Meeting (commonly referred to as room blocks), we research the properties to make certain that our attendees will be adequately accommodated. The room block is established to ensure that guest rooms meet our standards and are offered at the discounted price.

Don’t be misled! If you are contacted by anyone trying to sell you a room for the Annual Meeting, please do not make a reservation or provide a method of payment. We ask that you get as much information as you can about the caller and pass it on to Mary Cullen, Associate Director of Meetings.
